Equity Analyst - Unilever (two positions)

ETS is a critical component underpinning Unilever’s ability to win in the market and achieve the goals of the Compass.  It does this by delivering excellent services globally so that Unilever can better serve customers, translate its global scale into local cost competitiveness and create maximum agility.

The Global Reward Services team, within HR Services, is responsible for delivering the Pay Review, Total Reward Statement, Global Mobility and Equity globally.

The Reward Services part of the team is responsible for delivering the pay review to over 60,000 employees across 98 countries, long term incentive share awards to Work Level 3 and above across 86 countries, the SHARES Plan to over 140,000 eligible employees in 102 countries, which includes accountability for the global processes, technology and operational service delivery.

 

Key role in the administration of Global Equity plans for Performance Based Share Awards, Matching Share plans, restricted stock, annual and interim award and payout processes which involve the following activities:

  • Review equity award recommendations for adherence to global guidelines and policy
  • Consolidate recommendations and prepare presentations for approval by Unilever Board, local boards where required and North America Compensation Committee
  • Work closely with the Global Reward Expertise, Country Rewards Teams, Finance, country payroll departments, Comptroller’s Office, Corporate Tax Department, Global Mobility and ancillary global departments to ensure award and payout, accounting and financial reporting accuracy
  • Oversee processes with third party providers including Accenture (Unilever’s HR Shares Services outsourcing partners), ADP and other payroll providers, including Ernst & Young, Deloitte, Computershare for the stock plan service provider for global share plan participants and Fidelity for U.S. participants
  • Manage equity information flow to Total Reward Statement (TRS) ensuring data streams from executive plans and SHARES are up to date and operating efficiently
  • Lead preparation and distribution of all communications to eligible employees
  • Work closely with Corporate and country Finance/Treasury teams, Global Comptroller’s Office, country payroll departments, Global Mobility and Corporate Secretaries to meet reporting requirements including Sarbanes Oxley compliance reviews, and outside audits

Key role in the administration of the SHARES Plan as follows:

  • Manage annual enrolment process
  • Own the payroll monthly contribution files process and ensure accuracy in accordance with employee elections and where discrepancies exist, research with relevant payroll
  • Oversee and ensure accurate movement of funds for all contributions to vendors.
  • Liaise with treasury and vendors for quarterly purchase of shares
  • Respond to all questions regarding SHARES from internal counterparts, participants and vendors
  • Maintain documentation for all processes related to the SHARES plan.

Overall responsibilities:

  • Manage and maintain the service delivery model to ensure excellent service delivery with a user-centric mind set from all key partners in the end-to-end process.
  • Provide functional, system or local subject matter expertise in relation to relevant service area.
  • Manage data requests for relevant service area.
  • Build and maintain positive working relationships with users, service providers, key stakeholders and clients.
  • Maintain documentation for all processes.
  • Own and deliver operational projects to support improvement across the end-to-end process.
  • Work on additional projects as needed within Global Equity, Reward Services and HR Services for skill development as well as building cross-functional talent and coverage.

Specific to the sub-function

  • Business Context
    • Provide relevant HR services to ensure that organization growth is well supported by delivering a professional high quality service to all users within agreed SLA’s & in line with the HR Operating Framework.
  • Ensure that policies and procedures are being exercised and applied in the relevant service area
  • Problem and Issue Management
    • Track and manage issues to be addressed and take necessary action to resolve
    • Work with Service Provider (internal or external) to resolve operational issues and escalate those that cannot be resolved
    • Identify trends and actions to address where appropriate, in combination with the service provider – ensuring action is taken by both or either parties as appropriate
    • Identify continuous improvement opportunities and drive performance and cost efficiencies
  • Subject Matter Expert
    • Provide functional, system or local subject matter expertise in relation to relevant service area

  • Service Operations
    • Manage all service activities in line with appropriate weekly / monthly / annual service cycles (e.g. PDP, learning / recruitment, payroll) 
    • Answer all employee and stakeholder related queries linked to delivery of the service
    • Ensure delivery and reporting of services meet with agreed SLAs
    • Update and compile data upon request for country Finance, payroll and tax  teams, corporate Finance, Global Rewards and other counterparts

  • Relationship Management
    • Build and maintain positive working relationship with users, service providers, key stakeholders and clients
    • Manage 3rd party service providers and hold to account for delivery of service within agreed SLAs

  • Change Management
    • Implementation of change projects and landing the implications of this within the business to support business adoption of new processes and ways of working

  • Data Integrity
    • Ensure overall data compliance and confidentiality both within the parameters of Unilever policy and local legal legislation
    • Maintain the required levels of data integrity and quality for optimal service delivery, ensuring necessary data corrections are identified and implemented as appropriate
    • Manage relevant service databases

Professional Skills

  • Strong PC skills in Advanced Excel (super user required), Word, and PowerPoint required.
  • Knowledge and regular user of Access is a plus
  • Knowledge of Workday, PeopleSoft and SharePoint is desirable.
  • Excellent verbal and written communication skills. Must communicate with employees at all levels within the organization about complex compensation/tax/payroll matters.
  • Strong data analysis and analytical skills to anticipate possible outcomes and issues
  • Excellent problem solving skills
  • Excellent administrative and organization skills. Must be detail-oriented and thorough with superior and persistent follow-through and consistently deliver quality on time.
  • Ability to be a team player while demonstrating the ability to work independently.
  • Needs to be relationship-oriented and successfully deal with a broad range of professionals.

Relevant Experience

  • University Graduate
  • 5+ years experience in HR Service delivery/operations
  • Proven experience in management of third party service providers, and of structured service delivery methodologies, including governance, issue management, relationship management
