Share Plan Administrator - Kingfisher

The Share Plan Administrator supports the Share Plan Manager in ensuring the successful day to day running of multiple Group discretionary and all-employee share plans.  He or she is also responsible for building and maintaining relationships with our third-party service providers and other key stakeholders, including Kingfisher colleagues, to deliver an efficient service which is valued and appreciated by our participants.

Share Plans Management

  • Support the Share Plan Manager through the day to day running of the function.
  • Take a partnership approach with our third-party providers as the team proactively manages delivery to the service level agreement (SLA), revising SLA as required.
  • Support the Share Plan Manager in planning and delivering key tasks including grants, vestings, dividends. This includes supporting the grant proposal cycles, preparation of schedules, calculation of award values, and the production of grant documentation.
  • Continually improve internal and third-party processes, coordinating regular reviews, suggesting changes and reviewing recommendations as required.
  • Support the outsourced exercise processes, liaising with payroll functions, brokers, registrars, EBT trustees and all third-party service providers.


    Participant Communication

  • Resolve employee queries, including escalated service issues with our third-party suppliers.
  • Promote employee share ownership through improved employee communications, co-ordinating and delivering drop-in sessions and group presentations.
  • Work proactively with Group Reward, third-party providers, and advisers, to ensure that employee engagement is optimised.
  • Drive effective stakeholder communications regarding the promotion and operation of Kingfisher share plans.
  • Manage department mail box to ensure queries are followed up in a timely manner and common themes identified.

    Reconciliation & Reporting

  • Work proactively with Group Reward, Group Finance, third-party providers, and advisers, to ensure that Trust and Plan Rules are adhered to and legal compliance obligations are met.
  • Support the compilation and internal validation of Annual Tax Returns for all Kingfisher share schemes before submission to HMRC.
  • Complete monthly reconciliations to maintain control or share and case accounts, ensuring accurate reporting is cascaded through the Group.
  • Provide ad-hoc analysis and reports to other corporate functions as required
  • Reconcile the Kingfisher Issued Share Capital, in conjunction with the Registrar.

JOB DIMENSIONS:

Supports all-employee and discretionary share incentive plans via outsourced provider.

A significant number of employees and former employees are supported by the team. Liaison with Executive Directors and other Senior Management.

Extensive liaison with Reward and Payroll.

QUALIFICATIONS AND EXPERIENCE / PERSONAL ATTRIBUTES:

  • Utmost confidentiality and discretion is required
  • A good working knowledge of discretionary and all-employee share plans in the UK, and other key Kingfisher jurisdictions
  • Extreme attention to detail
  • Ability to work under pressure and to tight time deadlines
  • Exceptional accuracy and organisational skills
  • Strong Team player
  • Interpersonal skills and good written and verbal communication skills at all levels
Strong Microsoft office skills, especially Excel
