Share Plan Manager - The Weir Group PLC - Glasgow

This is a newly created role for an experienced Share Plan Manager to lead and project manage the implementation of an All Employee Share Plan across multiple jurisdictions within The Weir Group PLC.  The successful candidate will be based in Head Office, Glasgow, reporting to the Deputy Company Secretary.  

This role will be initially to roll out the All Employee Share Plan, by creating and project managing an implementation team to ensure successful delivery of shares to all employees in March 2019.  Subsequently, the role will include the day-to-day activities in administering our All Employee Share Plan, Long Term Incentive Plan and Share Reward Plan, including all aspects of record keeping, reporting, compliance and reconciliation.

Key Responsibilities and Specific Accountabilities:

All Employee Share Plan

  • Project managing the implementation of an All Employee Share Plan.
  • Gathering, reviewing and cleansing data.
  • Managing third party administrator of the All Employee Share Plan.
  • Creating and liaising with the implantation team to Identify payrolls, contacts that are necessary to the successful roll out of the plan.
  • Interfacing with various stakeholders; employees, local Payrolls, HR, Legal, Brokers, Registrars, Trusts and Auditors.
  • Promoting, communicating and explaining the All Employee Share Plan and Rules to employees and resolve any employee issues.
  • Creating, maintaining and updating procedure documents, providing analysis and support for process improvements and education initiatives.
  • Ensuring that all transactions are accurately processed, settled in a timely manner and compliant with current rules and regulations.
  • Generating and reviewing for accuracy, reports for the various departments.

    Long Term Incentive Plan / Share Reward Plan

  • Managing the administration of grants and vestings, ensuring the processes run smoothly.
  • Managing the leaver process.
  • Issuing participant communications via online participant portal.
  • Responding to participant queries and managing third party administrator.
  • Document review.
  • Arranging feasibility study and understanding requirement and ensuring the plan operates within the regulations.
  • Tax withholding process.
  • Ensuring share plan rules and administration remain consistent with current legislation and best practice.
  • Purchase of Shares for Bonus Share Awards.
  • Preparing Stock Exchange Announcements in relation to Share Plans.
  • Ensuring appropriate filings are made locally.
  • Monitoring Headroom and Hedging of Shares.
  • Manage the relationship with the Employee Benefit Trust.
  • Arrange for the provision of Data on the LTIPs for DRR etc.
  • Managing the employee mobility process in relation to share plans.
  • Ensuring HMRC Form 42 filed in timely manner.

Job Knowledge / Education and Qualifications


  • ICSA Cert. ESP qualified or equivalent
  • At least five years’ practical experience in a share schemes role within a listed Company.
  • Excellent understanding of Executive and All Employee Share Plans.
  • Previous experience in implementing a share plan.
  • Comprehensive experience of dealing with internationally mobile participants.
  • Accuracy and attention to detail.
  • Self-motivated, strong planning, organisational, and problem solving skills.
  • Excellent project management skills with the ability to manage workload.
  • Content working in a fast-paced environment with demanding deadlines.
