The Aviva Company Secretarial team have a very exciting opportunity available for an aspiring and ambitious Share Plans Co-ordinator, in the heart of London’s City.

Aviva has a number of UK & global share plans for our all-employee, executive and asset manager populations, including various tax-qualified programmes. Through the effective delivery of the Aviva Share Plans, you will use your creativity and innovation to ensure the Aviva Share Plans are meeting their objectives to motivate, inspire and reward employees across the globe through employee ownership.

Being a member of the Aviva Company Secretarial Department, you will often come across different opportunities made available to you that will provide a fantastic insight into the company secretarial profession and extend your learning.

You will be responsible for delivering the Grant(s) and Release(s) of all of Aviva’s Share Plans (All Employee and Executive) globally. Through your effective communication and strong organisational skills you will work collaboratively with legal, Reward and HR/ Payroll departments across the globe and build strong relationships with our internal and external stakeholders.

You will really enjoy the satisfaction of being the valued and dependable face of the Aviva Share Plans, whom others go to, on all levels, to seek information, help and assistance from.  

You will become a true expert in share plans, with the opportunity to represent Aviva at Industry wide events and present internally and externally, to educate our employees of the benefits of the plans.

    Duties & Responsibilities

  • Working closely with our Share Plan Administrators, external legal and tax advisors to ensure the smooth operation of our share plans including the life cycle events for all of the;
  • UK and Irish SAYE plans
  • UK Matching Share Plan (SIP)
  • Global Matching Share Plan
  • Executive (Discretionary) Share Pans (Grant / Release / processing leavers)
  • This will include;
  • Managing all stakeholders and project managing the annual deliverables
  • Managing ad-hoc queries
  • Planning ahead and making provisions for future events
  • Ensuring a good level of due diligence prior to any Grant or Release
  • Seeking the necessary internal approvals
  • Working closely with and supporting the Aviva Share Plans Manager
  • Challenging and improving processes
  • Creating ways of increasing awareness / financial education of the share plans

Skills & Experience required

  • Excellent communication skills and ability to communicate confidently with all levels of employees and stakeholders
  • Previous experience in managing Discretionary share plans for a listed company
  • Previous experience in managing a UK SAYE or SIP plan(s) for a listed company
  • Ability to grasp a good understanding of the Aviva Share Plan Rules
  • Has a good understanding of the legislation and regulations that govern share plans
  • Strong computer literacy (proficient with Excel)
  • Special attention to detail
  • Excellent organisational skills
  • A natural curiosity to identify improvements with a positive mind set and a can do approach
  • Prepared to take on challenges
  • A strong commitment to deliver the right outcome for our customers
  • Previous share plan experience
  • Tapestry ICSA CERT ESP (preferred)
